Almost every commercial building in Miami has a master key system. Very few have one that still works the way it was designed to.
That gap is the actual subject here. A master key system is not a product you buy once. It is a hierarchy plus a policy, and the hierarchy decays the moment the policy stops being enforced. Ten years into an unmanaged system, most property managers cannot say with confidence how many master keys exist or who holds them — which means the system’s real security level is zero regardless of what hardware is on the doors.
Here is how to design one correctly and how to tell whether yours has already come apart.
What a Master Key System Actually Is
A master key system is a keying hierarchy. At the bottom, each change key opens one door. Above that, a master key opens a defined group. Above that, a grand master opens groups of groups. In a large property you may have a great grand master above that.
The point is controlled delegation. A janitorial contractor gets one key that opens the floors they service and nothing else. A maintenance supervisor gets a higher-level key. A tenant gets exactly one door.
Designed well, a system does three things at once: it reduces the number of keys people carry, it creates a documented map of who can go where, and it lets you revoke access for one group without touching the rest of the building.
Designed badly, it does the opposite — and badly usually means one of two things. Either the hierarchy is too flat, so the “master” is effectively a building-wide skeleton key handed to a dozen people, or the hierarchy is so granular that nobody can maintain the records and it degrades into improvisation.
The Restricted Keyway Question
This is the decision that matters most, and it is where cost-cutting does the most damage.
On a standard keyway, blanks are freely available. Anyone holding a key can walk into a hardware store or a kiosk and have it duplicated, and you will never know. If that key is a master, your entire access control model has silently ended.
A restricted or patented keyway — Mul-T-Lock, Medeco, and similar high-security platforms — solves this at the source. Blanks are controlled, duplication requires documented authorization from the registered system owner, and the patent gives the restriction legal teeth rather than just a policy. The common and reasonable compromise on larger systems: restricted keyways at the master and grand master levels, standard cylinders at the change key level where budget is tight. That protects the keys whose loss would be catastrophic while keeping per-door cost manageable. What is not a reasonable compromise is a standard keyway at the master level, which is unfortunately what a great many Miami buildings are running.
Key Control Is the Whole System
Hardware is maybe a third of this. The rest is administrative, and it is where systems actually fail.
A functioning key control policy includes:
- A key register. Every key issued, to whom, when, at what level, with a signature. Maintained continuously, not reconstructed during an incident.
- A single authorized requester. One named person — with a backup — who can approve cutting a key. Not “anyone from management.”
- Return-on-exit enforcement. Keys collected at termination or move-out, recorded as returned. This is the step that is skipped most often and matters most.
- Periodic audits. Annual at minimum. Count the keys. Reconcile against the register. Investigate discrepancies rather than noting them.
- A documented loss procedure with a defined threshold for rekeying.
Federal guidance on physical security for facilities makes the same underlying point in a broader context: access control is a process, and the technology is only as good as the administration around it.
When to Rekey
Rekeying is cheaper than most people assume and far cheaper than the alternative. Clear triggers:
- A master key is lost or unaccounted for. Not negotiable. This is the most serious event that can happen to a system, because it compromises every door at and below that level.
- An employee with master-level access leaves, particularly involuntarily.
- A contractor relationship ends where keys were issued and not fully recovered.
- Turnover in a residential unit or tenant space — standard practice, and in a condo setting, expected.
- After a burglary with no forced entry. That combination is telling you something specific.
- When an audit cannot account for the keys. If you do not know where they are, assume the worst.
You do not always need new hardware. On many systems, rekeying the cylinders to a new bitting is sufficient and dramatically less expensive than a full replacement.
Where Master Keying Meets Everything Else
Two constraints worth designing around from the start.
Life safety comes first. Egress doors must open from the inside without a key, tool or special knowledge, and the requirements in the Life Safety Code do not bend for key control convenience. Any keying scheme that interferes with free egress is not a design decision, it is a violation — and the same applies to ADA accessibility requirements for operable hardware.
Mechanical and electronic should be planned together. Most Miami buildings now run a hybrid: credentials or mobile access on main entries, elevators and amenity spaces, mechanical keys on back-of-house, mechanical rooms, risers and tenant doors. That hybrid is correct, but it only works if someone has mapped both systems as one access model. Door condition matters too. A high-security cylinder in a warped or poorly hung commercial door protects nothing. We look at the opening as a whole because attackers do.
